Terms and Conditions for the provision of dance instruction services by the company

(hereinafter referred to as “WCS Prague” or “operator”).

These Terms and Conditions govern the mutual rights and obligations between WCS Prague and participants in courses, dance lessons, and any other events organized by WCS Prague (hereinafter referred to as “participants” or “participant”).

The procedures for the protection and handling of personal data are set forth in a separate document titled "Privacy Policy".
Registration for a course or other event

The list of courses and other events offered by WCS Prague is published on the website https://wcsprague.cz. This list does not constitute a binding offer to enter into a contract; a binding offer is made only when a completed, submitted, and approved registration form for the selected course is received.

Registration for the course is done online via the WCS Prague website. After submitting the registration form, the participant will receive a confirmation email containing course information, including payment details. Upon receipt of this confirmation email from WCS Prague, a service agreement is concluded between WCS Prague and the participant.

The subject matter of the contractual relationship is the operator’s obligation to provide dance instruction or other services in accordance with the course offerings, and the participant’s corresponding obligation to pay the operator the agreed-upon price for the provision of these services.

By checking the box "I agree to the processing of personal data and general terms." and/or clicking the "Register" button, the participant confirms that they have read and fully understood these General Terms and Conditions and that they agree to them unreservedly and in full. The same applies to the principles governing the protection and processing of personal data.

The operator reserves a spot for the participant in the course until the start of the first class. If the participant fails to attend the first class without prior notice, their reservation will be canceled.

If a course or class is fully booked, no additional participants will be admitted.
Course Attendance and Make-ups

Attendance at course sessions is the participant’s responsibility. Failure to attend sessions does not entitle the participant to compensation for those sessions from the provider.

A participant may not send a substitute in their place to the course.
Course fees, payment methods, gift vouchers, credit

The price of the relevant course or other event is valid at the time of booking and is published on the operator’s website.

The operator allows participants to try the first lesson of the course for free. If the participant subsequently decides to take the course, they must pay the full course fee no later than before the second lesson. This exception applies only to new members who have not yet taken any of the operator’s courses. This option does not apply to courses lasting less than 3 days, unless otherwise stated for the course.

WCS Prague allows you to purchase credit that has no expiration date and can be used to pay for parties or, by mutual agreement, for other services provided by the operator. Purchased credit cannot be refunded or redeemed for cash.

WCS Prague offers gift vouchers for private lessons or for a specific amount (with a minimum value of 400 CZK). Gift vouchers cannot be exchanged for cash or redeemed for cash. Advance registration is required for the event. Gift vouchers must be redeemed in full in a single transaction during their validity period.

Payment can be made:
- online via a payment gateway
- by bank transfer upon request, based on an invoice
- in cash to the instructor

In the case of cash payment, a receipt will be issued to the participant upon request. In the case of a non-cash payment, the participant has the right to request an invoice as proof of payment.

The information provided on the course page is also binding. In the event of a conflict with the terms and conditions, the terms and conditions shall prevail over any other provisions, unless otherwise agreed upon by the provider and the participant.
Changes to classes, compensation for participants

In the event of a teacher’s absence (whether short-term or long-term), the operator will arrange for an adequate substitute teacher. In exceptional circumstances, the operator may cancel or reschedule a specific class in a given course. Participants will be notified of this by phone or email.

If the operator is unable to find a suitable replacement instructor, it may cancel the course in such exceptional circumstances, and the remaining, pro-rated portion of the course fee will be refunded to the participant.

In exceptional cases where the date, time, or location of a lesson or course is changed, this does not constitute grounds for early termination of the course with a right to a refund.

In exceptional cases, the event may be canceled by the operator. In such cases, an alternative date will be scheduled, or the remaining portion of the course fee will be refunded without any administrative fees, or, upon agreement, transferred to another event.

WCS Prague reserves the right to remove a participant from a class in the event of inappropriate behavior, intoxication, or the influence of other intoxicating substances, or failure to comply with technical and safety instructions, without any entitlement to compensation.
Cancellation of the contract by the participant and cancellation fees

Courses
-
Once the course has begun (the date of the first class), course fees are non-refundable. An exception may be granted by mutual agreement in the event of the participant’s illness or injury, based on a doctor’s note (regarding the participant’s current condition). Such cases must be reported immediately; under no circumstances can they be claimed retroactively after the course has ended.

If a participant cancels their registration at least 10 calendar days before the course begins, the cancellation fee is 0% of the course price. After this date may the participant be required to pay a cancellation fee of 50% of the course price.

To withdraw from the course, please send an email to info@wcsprague.cz in any format.

Parties
-
Participants do not need to register for the party; therefore, their arrival is considered acceptance of the terms and conditions.

The parties are not intended for the general public, but for the global community of West Coast Swing dancers.

The admission fee for the party is listed on the WCS Prague website, and all participants are required to pay this fee upon arrival.

WCS Prague reserves the right to remove a participant from the party in the event of non-payment of the admission fee, inappropriate behavior, intoxication, or the influence of other intoxicating substances, or failure to comply with technical and safety instructions, without any entitlement to compensation.

If the admission fee is not paid, the operator reserves the right to deduct the corresponding fee from the participant’s credit balance.

Private lessons

The participant is required to notify their instructor of their absence from an individual lesson at least 48 hours before it begins. A full refund is due, either in the form of the lesson fee or a rescheduled lesson. If the participant cancels less than 48 hours before the start of the individual lesson, they are entitled to a 50% refund. If the lesson has not been paid for by that time, the participant is required to pay 50% of the amount.

If the event was paid for with gift vouchers, the participant is not entitled to any compensation.
Payment via payment gateway

Online payments for service providers are handled by the Comgate payment gateway. The service provider, ComGate Payments, a. s., is a licensed payment institution operating under the supervision of the Czech National Bank. Warranty Claims

Participants have the right to file a complaint with the operator regarding any course, including the instructor’s teaching method and/or the organization of the course.

The subscriber must always submit a claim or complaint in writing immediately upon discovering the basis for the claim or complaint, by emailing info@wcsprague.cz.

A written complaint must include: the subscriber’s first and last name, the subscriber’s address, and a description of the subject of the complaint.

If the complaint does not include the required information, it may be disregarded.

The provider is required to resolve the claim or complaint no later than 30 days from the date of receipt of the claim or complaint from the subscriber, unless the provider and the subscriber have agreed on a longer period. The date of receipt is defined as the date on which the claim or complaint was delivered in the manner described above.

Claims Resolution Process

The provider will log the complaint and assess its validity in light of the terms and conditions, any previous complaints, or supervision of the instructor’s class.

If the provider deems the reason valid, it will ensure appropriate corrective action (such as discussing the matter with the instructor and providing them with additional training, offering appropriate compensation to the participant, or transferring the participant to another course).

In the event of a repeat complaint regarding the same matter, the provider may offer individual compensation to the subscriber, as determined by WCS Prague management.
